We process personal data in accordance with Regulation (EU) 2016/679 (GDPR) and Act No. 18/2018 Coll. on the protection of personal data.

This Privacy Policy applies to the website available at www.loopvine.eu and all associated forms and services operated by etero s. r. o.

What Data We Collect and From Where

Data you provide via our website forms:

Newsletter sign-up form: email address.

General contact form (“Let’s Make Everyday Cleaning More Thoughtful”): full name, email address, company name, message content.

Partnership/inquiry form (“Questions, Ideas or Partnerships”): full name, email address, message content.

Technical / Usage data

When you visit our website, our hosting provider (Vercel Inc., USA) may automatically process certain technical data, including your IP address, browser type, operating system, and pages visited, as part of its standard infrastructure operation. See Section 5 (International Transfers) and Section 7 (Cookies) for details.

We do not intentionally collect special category data. Please do not include sensitive personal information in free-text fields.

Purposes, Legal Bases, and Retention

Newsletter

Purpose: To send you news, product updates, and other communications about LoopVine.

Data collected: Email address.

Legal basis: Consent (Art. 6(1)(a) GDPR). You consent by ticking the checkbox and clicking Sign up.

Retention: Until you withdraw consent (unsubscribe). After unsubscribing, we keep your email on a suppression list solely to ensure we do not contact you again.

General Contact Form — Business & Product Inquiries

Purpose: To read and respond to your message; to manage business inquiries, product questions, refill-system interest, and sourcing partnerships.

Data collected: Full name, email address, company name (optional), message content.

Legal basis: Legitimate interests (Art. 6(1)(f) GDPR) — our interest in responding to business inquiries and conducting our operations. Where your message clearly seeks a contractual offer or constitutes a pre-contractual step, we rely on Art. 6(1)(b).

Retention: Up to 12 months from the last interaction for general inquiries; for the duration of the applicable limitation period where communications relate to pre-contractual steps or a concluded contract.

Partnership / Ideas Contact Form

Purpose: To read and respond to your message regarding questions, ideas, or potential collaborations.

Data collected: Full name, email address, message content.

Legal basis: Legitimate interests (Art. 6(1)(f) GDPR) — our interest in engaging with partners, collaborators, and the wider community. Where a message leads to a contractual relationship, we rely on Art. 6(1)(b).

Retention: Up to 12 months from the last interaction, or for the applicable limitation period where the communication relates to a contract.

Website Hosting & Technical Operation

Purpose: Delivery and security of the website.

Data involved: IP address, request logs, and standard HTTP metadata processed by Vercel as part of infrastructure operation.

Legal basis: Legitimate interests (Art. 6(1)(f) GDPR) — necessary to operate a secure and functional website.

Retention: Per Vercel's data retention practices (typically short-term logs; see Vercel's Privacy Policy at vercel.com/legal/privacy-policy).

Analytics (Future — Google Analytics)

We intend to implement Google Analytics to better understand how visitors use our website. When activated, this section will be updated. Analytics cookies will only be placed with your explicit prior consent via our cookie banner.

Recipients and Processors

We use trusted third-party service providers (processors) who act under our instructions and are bound by data-processing agreements. Current categories of processors include:

Website hosting and infrastructure: Vercel Inc., USA (see Section 5 re: international transfer)

Content management system (CMS): Sanity AS / Sanity Inc., USA — used to manage and deliver website content (see Section 5 re: international transfer)

Email delivery: currently processed directly to info@loopvine.eu; no third-party email marketing platform is used at this time.

Legal, accounting, and advisory services: as required and bound by professional confidentiality.

We do not sell your personal data to third parties.

International Data Transfers

Our website is hosted on Vercel Inc. and uses Sanity (content management system), both companies based in the United States. As a result, certain data — including technical data such as server logs and IP addresses (Vercel), and website content data (Sanity) — may be transferred to and processed in the USA.

We ensure this transfer is covered by appropriate safeguards, specifically:

Standard Contractual Clauses (SCCs) as approved by the European Commission, and/or

Vercel's participation in applicable EU-U.S. data transfer frameworks.

Should we add other third-party services (e.g., analytics or email platforms) that involve transfers outside the EU/EEA, we will update this Policy accordingly and apply equivalent safeguards.

Security

We apply technical and organisational measures appropriate to the risk involved in processing your personal data, including:

Access controls and least-privilege principles

Staff confidentiality obligations

No method of transmission over the internet is 100% secure. We continuously review and improve our security measures.

Object — object at any time to processing based on legitimate interests. You have an absolute right to object to direct marketing and related profiling.

Withdraw consent — withdraw any consent given at any time, without affecting the lawfulness of prior processing. Use the unsubscribe link in any newsletter or contact us directly.
